TERMS AND CONDITIONS: 1) Please email a detailed itinerary including addresses of all locations to be visited 14 days before departure. 2) The chartering party is responsible for providing our driver with a single, non-smoking hotel room on overnight trips unless otherwise specified. We don’t allow our drivers to share rooms, dorms, Air BNBs, houses, etc. If Ebmeyer Charter provides the rooms we charge a minimum of $250, per room, per driver, per night for most cities. 3) The chartering party is responsible for all parking, tolls, and entrance fees incurred on this trip.

PAYMENT TERMS – The price of your charter is quoted as a cash price. Accepted payment methods are company check, cash, wire, electronic transfer, or credit card. There will be a 3.5% convenience fee on any credit card transactions. Unless you’re on net terms with Ebmeyer Charter, final payment is due 14 days before departure. Charters booked less than 14 days before departure must be paid in full at the time of booking. If your company is on net terms and an invoice isn’t paid on time, a late fee of [1.5%] per month will be added to your invoice.

DEPOSIT – A deposit of $250.00 per motorcoach, per day is due within 10 days of booking unless otherwise noted.

CANCELLATION POLICY:

Full refund: If you cancel your trip at least 31 days before departure.

Deposit held: If a motorcoach reservation is canceled 30 days or less from your departure date, you may forfeit your deposit.

Cancellation fees:

  • 14-30 days before departure: $300 per motorcoach.
  • 4-13 days before departure: $600 per motorcoach.
  • Less than 72 hours before departure: Up to the full daily rate per motorcoach (may increase during peak seasons or holidays).

CHANGES TO RESERVATION DATES: Reservations can only be changed once. Additional changes will incur a change fee of $150 per vehicle, per reservation (exclusion, see adverse weather conditions).

ADDITIONAL HOURS – Additional hours not agreed upon in this booking can usually be accommodated for an additional $205 per hour for charter buses and $150 per hour for school buses.

ADVERSE WEATHER CONDITIONS: If weather conditions or temperatures become unsafe, Ebmeyer Charter reserves the right to cancel transportation or alter the itinerary. Under no circumstances will Ebmeyer Charter refund any fares surpassing the amount collected for bus transportation.  This may include but is not limited to a) Lodging, b) Camp fees, c) Ski rentals, d) Snowmobile rentals, e) Lift passes, f) etc..

  1. If the trip is canceled by the charter party and rescheduled within six months, there are no penalties.
  2. If the trip is canceled or rescheduled after your driver has arrived at an Ebmeyer Charter terminal, the charter party may be assessed a minimum fee of $600 or the current mileage rate for the distance traveled, whichever is greater.
  3. If a trip is canceled by the charter party due to weather while en route, and passengers are aboard the bus, the trip may be billed at full rate.

CHAINS: If snow chains, cables, socks, or other traction devices are used at any time, a fee of $250 per motorcoach, per occurrence will be applied to the cost of your trip. Ebmeyer Charter will not use chains to get you to a destination but we will use them to get you out of a situation.

VEHICLES: We offer a diverse fleet of vehicles to suit your group’s needs. Our spacious 56-passenger coaches are perfect for large groups, while our midsize buses are ideal for smaller parties. Ebmeyer Charter reserves the right to upgrade or modify the bus size at its discretion.  For passengers with disabilities, our ADA-equipped lift coaches provide comfortable and accessible transportation. Please note that accommodating two wheelchair users requires removing five standard seats. EXTENDED DAY(S): Per FMCSA regulations, drivers may work a maximum of 15 hours per day or 16 consecutive hours for SPAB Trips. Should the length of the day exceed 15 hours or 16 consecutive hours for SPAB, a hotel room or additional drivers might be required. In this case, Ebmeyer Charter reserves the right to charge for any or both of the above. In some instances, we may charge for a hotel room and instead, do a driver change out, or this may be charged in reverse. In some instances, we may charge for either and have the driver return to the closest terminal.

RESPONSIBILITY: Ebmeyer Charter and Tour shall not be liable for delay or non-performance resulting from road failure, road or weather conditions, labor difficulties, or any other acts of God beyond our control. Our maximum liability under any circumstance is the cost of this charter.

AMENITIES: Amenities on the motorcoach such as radio, CD player, DVD player, PA system, restroom, etc. are provided as a service to our customers. Should a specific amenity be unavailable or inoperable, Ebmeyer Charter will not be liable for its availability or performance.

DAMAGE & INDEMNITY: The chartering party will be liable for any damage to the bus or its contents that is caused by the passengers. The chartering party agrees to be responsible for any loss, damage, and expenses arising out of any accident or other occurrence that is found to be the fault of the chartering party, including but not limited to negligence and intentional acts. This includes anything due directly or indirectly to the use of alcohol by the chartering party or any of its members.

FOOD & BEVERAGE: Food and non-alcoholic drinks are allowed on the motorcoach. Should you desire to have Alcohol on board the coach, prior authorization must be obtained. Alcohol is not permitted with minors on board. A $300 non-refundable cleaning fee per motorcoach will be added when alcohol is served.

TOBACCO: Use of cigarettes, electronic cigarettes (e-cigarettes), or chewing tobacco is strictly prohibited while on any of our motor coaches.

SERVICE ANIMALS:  Customers may bring a service animal on buses. The animal must not endanger or annoy other customers. Comfort animals or Emotional Support Animals are not considered service animals and are therefore treated as pets and are not allowed on our motor coaches. Service animals (and service animals in training) are permitted to ride on buses.  Service animals are specially trained animals that assist persons with disabilities. Service animals must be within the care, custody, and control of their owners. This means that the animal is properly restrained by leash, harness, or carrier and is not roaming the coach and barking or growling. No other animals except those specified in Civil Code 54.2 may be transported in a school bus, SPAB Bus, or youth bus.

VIDEO or MUSIC: DVD players are available on all motorcoaches. Use of the video or music systems is included at no extra charge. The chartering party understands that Ebmeyer Charter does not broadcast, distribute, or cause to be performed any music, video, or other intellectual property. The chartering party agrees to supply their movies or music and assumes any copyright or licensing issues associated therewith.

CARRIER: Ebmeyer Charter, reserves the right to use leased equipment, or lease from another carrier to fulfill this agreement.

FUEL SURCHARGE: Due to the volatile price of diesel fuel, a surcharge may be added or adjusted at any time.

SAFETY: The chartering party agrees to respect our professional motorcoach operator’s decision regarding road conditions, equipment, and safety. Federal regulations allow motorcoach operators to be on duty for 15 hours per day, including a maximum of 10 hours of driving. An operator must then have 8 consecutive hours off duty before coming back on duty. Drivers will need time to fuel and pre and post-trip his or her coach after the final drop off.

NIGHT DRIVING: Ebmeyer Charter motorcoach operators may make safety stops/breaks between the hours of midnight and 6 A.M. Your safety and our operators’ safety are our highest concern. These stops are aimed at minimizing any fatigue a driver may experience during those hours.

ACCOMMODATIONS FOR THE DISABLED: Ebmeyer Charter will make every reasonable effort to accommodate you.  We assist with boarding and departing the bus, special handling and transferring of luggage, storage and retrieval of mobility devices, and assistive aids. Please provide our sales staff with your specific travel needs. If you can climb steps and do not need a lift motorcoach, we can safely secure your scooter, wheelchair, walker, or in the luggage bay.  You may also request priority seating at the front of the coach. LOST ITEMS: Ebmeyer Charter is not responsible for luggage or personal items left inside or underneath in the luggage bay.

WEAPONS: Weapons, whether concealed or unconcealed, are not allowed on the motorcoach at any time.

LUGGAGE: Our drivers are trained to handle and load luggage up to 50 lbs. Anything over 50 lbs. is the responsibility of the chartering party.
